Summary: Solar Relay collects your contact and property details, electricity bill information and photos to verify your enquiry and match you with participating solar providers. A shared enquiry goes to a maximum of three providers; an exclusive enquiry goes to one. You can withdraw consent, opt out, or ask us to delete your information at any time. We never sell your data.
1. About this policy
Solar Relay is operated by Mars Digital Pty Ltd, trading as Solar Relay ("we", "us", "our"). Solar Relay is a solar lead-generation, verification and matching service — we are not an installer. We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).
This policy applies to information collected through solarrelay.com.au, our enquiry forms, verification calls and secure upload links. A short Collection Notice is displayed beside every enquiry form.
2. Information we collect
Contact and property information
- Name, phone number, and email address (if provided)
- Property address and installation postcode
- Property ownership or authority, property type, single or double-storey, power phase
- Installation timeframe, finance or cash preference, preferred contact time
Electricity bills and uploaded photos
- Your quarterly or monthly electricity bill amount (and a bill copy if you choose to share one)
- Photos you upload via our secure upload links — such as your switchboard, roof, or preferred battery installation location
- System details relevant to your enquiry — roof type and space, existing solar details, inverter brand and model, preferred battery location, backup-power requirements, and expected future usage (including EVs if relevant)
Verification-call notes
When we call to verify your enquiry, we take notes of the information you give us about your property, system requirements and installation intent. These notes form part of the enquiry shared with matched providers.
Technical information
We automatically collect limited technical data (IP address, browser type, pages visited, form source page and version) via cookies and form logs — see our Cookie Policy. When you submit a form we also record the exact consent wording you accepted and the time of submission.
We collect only information relevant to your enquiry. We do not request unnecessary identity documents.
3. Why we collect your information
- To verify your identity, your authority over the property, and your installation intent
- To match your enquiry with participating solar providers who can quote on it
- To contact you about your enquiry and record your preferences (including opt-outs)
- To operate, improve and secure our service and website
- To comply with legal obligations and to keep records of consent and lead sharing
4. Who we share your information with
- Participating solar providers: after verification, a shared enquiry is provided to a maximum of three providers in total; an exclusive enquiry is provided to one provider only. We record which providers received your enquiry, when, and whether it was shared or exclusive. Our systems prevent sharing with more than three providers. Providers are bound by a Data Handling Agreement — they may use your information only to quote on your specific request, may not resell or share it, and must stop contacting you if you withdraw consent.
- Service providers: we use trusted third parties to run the service — our CRM (lead management), website hosting, form processing, analytics, and communications (phone/SMS/email) providers. They process data on our behalf and are not permitted to use it for their own purposes.
- Legal requirements: we may disclose information where required by law or court order.
We do not sell, rent, or trade your personal information, and we do not share it with any third party for their marketing purposes.
5. Overseas data processing
Some of our service providers (for example hosting, form processing, analytics or communications platforms) may store or process data on servers located outside Australia, including in the United States. Where this occurs, we take reasonable steps to ensure the provider handles your information consistently with the Australian Privacy Principles.
6. Security
We protect your information using industry-standard measures, including encrypted (HTTPS) connections for our website and forms, secure upload links for photos, access controls limiting who on our team can view lead data, and reputable hosting and CRM platforms. No internet transmission is completely secure, but we take reasonable steps to protect your data from misuse, loss, and unauthorised access.
7. Retention and deletion
- We keep enquiry data for as long as needed to provide the service and to meet legal and record-keeping obligations (including records of consent and lead sharing).
- Enquiries that don't proceed are retained for up to 24 months and then deleted or de-identified.
- You can request earlier deletion at any time (see below). When you do, we delete your data from our systems and instruct any provider who received your enquiry to delete it too, unless they are legally required to retain it.
8. Access and correction
You may ask for a copy of the personal information we hold about you, or ask us to correct it, by emailing info@solarrelay.com.au. We respond within 30 days and there is no charge for making a request.
9. Withdrawing consent, opt-out and deletion
You can at any time, by emailing info@solarrelay.com.au or telling us during any call:
- Withdraw consent for your enquiry to be shared — we will stop sharing it immediately
- Opt out of contact — we will stop contacting you and instruct all matched providers to stop as well
- Request deletion of your information — we will delete it and confirm once done
Withdrawing consent doesn't affect anything done before the withdrawal, and there is no cost or penalty for doing so.
10. Marketing opt-out
We only send you marketing (such as offers or newsletters) if you opt in. Every marketing message includes an unsubscribe option, and you can opt out at any time by using that link or emailing us. Service messages about your active enquiry are not marketing.
11. Privacy complaints
If you believe we've mishandled your information, email info@solarrelay.com.au with "Privacy complaint" in the subject line. We acknowledge complaints within 2 business days and aim to resolve them within 15 business days — see our Complaints Policy. If you're not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
12. Cookies and tracking
We use cookies, analytics and advertising pixels as described in our Cookie Policy, which also explains your choices for controlling them.
13. Changes to this policy
We may update this Privacy Policy from time to time and will update the "Last updated" date at the top of this page when we do. Significant changes will be highlighted on our website.
